The Executive Assistant & Event Coordinator reports to the President/CEO and is responsible for delivering exceptional administrative support to the Executive Team, coordinating the Company’s participation in four annual trade shows and related client events , overseeing employees’ travel and expense submissions, creating and editing Executive communications including PowerPoint presentations, and providing outstanding support of other projects as needed.

The successful candidate will:
Represent the president by welcoming visitors, reviewing correspondence, and answering questions and meeting requests directed to the CEO
Coordinate CEO’s calendar, meetings, and travel
Project manage Executive team’s work plan including communicating meeting agendas, capturing minutes, action items, and following up with team on deliverables to ensure execution by deadlines
Prepare and edit correspondence including PowerPoint presentations (including graphs and charts), reports, letters, emails, etc.
Optimize CEO’s time by reading, researching, collecting and analyzing information
Manage a high volume of calls and emails, delivering timely, accurate responses
Coordinate all aspects of Company’s participation in four annual trade shows along with client events
Answer CEO’s calls
Be available to work overtime as needed
Complete other duties as reasonably required

Bachelor’s degree preferred (business or marketing a plus)

Experience :
Minimum of 4 years of experience providing executive-level support
Event management experience preferred

Exceptional time management, project management, administrative and organizational skills
Ability to set priorities, quickly and seamlessly change course (as needed) and deliver outputs by deadlines
Ability to track and follow up on projects and tasks for the CEO and Leadership Team
Strong computer (Microsoft Office Suite) skills
Excellent written and verbal communication skills
Comfortable working in ever-evolving environment
Self-motivated with impeccable attention to detail and intellectual curiosity to understand processes
Successfully works autonomously and with others
Ability to influence without direct authority
High level of emotional maturity and ability to maintain confidential information
Very strong interpersonal skills and the ability to build relationships with colleagues, clients, board members and vendors
