Job Summary:

Performs a variety of clerical support work including compiling, maintaining, filing, and photocopying records, correspondence, forms, lists, logs, etc. necessary for efficient operations of then Emergency Disaster Services; maintains records of business transactions and office activities, answers the telephone; performs all activities regarding the processing of incoming/outgoing mail; prepares and processes supply orders

Essential Functions:

Administrative Support (100%)

Prepares and maintains records, books, logs, lists, etc.; updates the same in an accurate, complete, and timely manner.

Performs routine filing of correspondence, forms, cards, records, reports, and documents; maintains and utilizes the bring-up filing system; ensures the files are maintained in an organized and efficient manner.

Receives, sorts, and distributes mail including electronic communications in an accurate and timely manner; ensures that all mail received is forwarded to the appropriate person and/or destination; update any address changes; prepares labels, lessons, and completes necessary forms, and packages same for shipping and delivery to mailroom.

Maintain updated systems for electronic and manual databases

Photocopies and collates correspondence, forms, reports, and documents.

Distributes information in an accurate and timely manner; compiles mailing lists and ensures the accuracy and completeness of the same.

Type, format, proofread and edit documents from notes.

Prepare meeting agendas; attend meetings to take notes and write minutes

Take inventory and order materials, supplies, and services as needed

Troubleshoot problems that arise with office equipment

Other Responsibilities:

May perform light typing of routine correspondence as requested.

Education and Experience:

any equivalent combination of training and experience which provides the required knowledge, skills, and abilities.

Physical Requirements:
