Summary:

The HR Administrative Assistant works under the direct supervision of the Director of Human Resources and is responsible for assisting with HR-Related functions and performing administrative duties. The HR Administrative Assistant will be part of the Human Resources team, but will provide administrative support primarily to the Director of Human Resources.

Description :

-Performs various office duties including copying, faxing, filing and scanning.

-Data enters information into the Company Human Resources Information system (HRIS).

-Accurately and efficiently completes employee verification requests.

-Creates new files for the HR Director for investigations & disciplinary actions, policies, trainings, workers’ compensation, and FMLA.

-Assists with the organization of the OSHA logs for all Company locations.

-Responsible for employee letter requests, including collecting signed forms, gathering relevant information from the payroll software system, drafting the letters, and returning the letters to employees in a timely manner.

-Maintains confidentiality of all office and employee information.

-Assists the HR Director with benefits administration, including collecting enrollment forms and corresponding with our Company broker.

-Schedules applicant interviews and employee appointments and enters the information into Microsoft Office 365 Calendar.

-Compiles and completes Word and Excel documents as needed.

-Participates in the new hire orientation process by presenting all Company training videos and collecting the acknowledgement forms.

-Organizes binders, pamphlets and other employee training materials.

-Updates HR spreadsheets with new employee contact information.

-Collects and organizes timesheets and submits them to the HR Director for review.

-Assists the HR Director with hanging posters at all Company locations in compliance with federal and state law.

-Serves as a liaison between the HR Director and Company employees.

-Checks potential employee references and properly documents responses.

-Drives in personal vehicle to accomplish HR tasks when necessary, including going to the local post office, office supply store, or to any one of our other locations in Massachusetts (mileage reimbursement provided).

-Assists the Director of Human Resources with special tasks and projects as assigned.

Qualifications:

High school Diploma or equivalent is required.

A Bachelor’s or Associate’s degree in human resource management preferred, but not required.

One or to two years of experience in the HR field preferred, but not required.

Prior experience and knowledge of general office procedures required.

Computer proficiency required, including knowledge of Microsoft Word, Excel and PowerPoint.

Must have valid driver’s license with an insured, reliable vehicle.

Must be willing to drive to other office locations in Massachusetts when necessary.

The ability to maintain confidentiality of Company information is an absolute requirement.

Will train the right person, but must have a desire to work in the field of Human Resources.
