The Retail Inventory Manager will be responsible for purchasing and initiating item movement for all six retail locations for our core merchandise assortment while also maintaining the retail inventory database. The Manager will be responsible for database management including creation of new items, ensuring quantity accuracy, reporting sales results, and being our technology liaison with our IT team. This position will manage purchasing all the way through, from initial ordering with vendors to auditing stores receiving documents and approving the invoices for payment. The Manager will support inventory management, including overseeing the annual store inventory counts from preparation through reconciliation. This position will provide information, guidance and support to all stores to maintain effective inventory levels and to ensure that controls and procedures are in place to protect and enhance GSNorCal’s retail operations and database.
1) Retail Inventory
Add new items to Retail Management System (Opsuite) database
Manage Restock/Reorder levels in Opsuite for each council shop.
Manage sale pricing sale dates, and discontinued notations.
Develop "inactive" lists to clear out database of obsolete items.
Proactively review database to correct inaccuracies.
Accountable for accuracy of item records, quantities and valuation of inventory in the database.
Bi-weekly analytical reporting to the department of defined KPI’s
Various sales reporting as needed (eg running reports, proactively identifying sales/margin/expense/inventory issues for Director of Retail).
Request "cycle counts" to correct inventory errors. Adjust as needed with DOR approval.
Oversee the cycle counts and annual inventory with staff training, preparation, facilitation and reconciliation by managing the annual on-site inventory audit. Will require travel to all physical inventories
Audit store to store transfers for accuracy, work with each store on corrective actions.
Conduct periodic training of store staff regarding Opsuite and inventory procedures.
Analyze inventory levels in relation to anticipated sales.
Identify items with excess inventory and recommend corrective actions.
Track and report on products lines’ gross margin and return on inventory investment.
Work with Director to identify inventory management efficiencies and controls to build effective inventory management procedures.
Liaison with Finance and IT for database issues, reconciliation of invoices, transfers and sales.
2) Retail Inventory Planning and Collaboration
Provide direction regarding product features and inventory levels, store staff and Managers.
Effectively manage and plan inventory levels by identifying trends, forecasting future demand accurately, and communicating regularly with the stores.
Collaborate with the Director, Retail to define inventory objectives, and projections during the annual budget and operations planning process.
Participate with her or his home-base store by learning about other store positions and providing guidance and support as needed.
Assist with larger department and/or Council projects as needed.
Collaborate with other departments as needed to align retail data with other departments' results (eg membership, program, and marketing).
Participate in small cross departmental project teams for data analysis support.
Bachelor’s degree or equivalent experience.
Two years of accounting experience and data entry experience that involves detailed and accurate data control and management.
Communications skills to deliver information via email, group presentation and one-on-one.
Minimum five years of experience working with and proficiency in Microsoft Office applications, including Excel, Word, Publisher and other graphics programs.
Experience working with an online web-based merchandise vendor
Experience with retail inventory systems and procedures
Proficiency with software or new electronic systems implementation.
Strong organizational skills to be able to adjust priorities and manage time wisely in a busy work environment.
Prior work experience demonstrating attention to detail, follow-through, and accountability
Ability to lift/load/move boxes weighting 20-30 lbs., using a hand truck, and to move items weighing 1-5 lbs. from floor level, desk level and shelf levels of 6-7 feet.
Ability to work independently and as a team player.
Valid CA driver’s license and access to reliable transportation; able to drive to all council store locations as needed (Santa Rosa, San Jose, Redding, and Chico).
Must be able to promote and sustain effective working relationships within a diverse multicultural environment.
Ability to meet the Girl Scout background and verification standards.
