The online MPH grew from six students the first year to close to 200 students today. Given the pace of this program with its three Admission cycles per year, three new cohorts enrolled, onboarded and starting each year, two annual campus visits by both the first and second-year students, there is now a need to have a student facing position that is primarily focused on supporting online students in their journey and experience with UC Berkeley’s online MPH program(s).
The online students are different from on-campus students in that they are not full-time students but rather full-time working professionals. Most have full-time careers, working more than 40 hours a week, and many have additional responsibilities, at home as parents, grandparents, caregivers and in their communities as mentors. They have less time available to figure out and navigate through complex systems as students in our program. They value the high touch support they receive from our staff. With a premium program such as OOMPH, student support will be an integral part of their Berkeley experience.
The online degree program, now in its 5th year, works with all five academic divisions in the School of Public Health to set up and provide proper continuum of support to students interested in experiencing a blended education which offers residential students access to online courses and vice versa, in some instances the blended experience will result in the completion of a degree. This position will be the bridge between the divisions and the various programs and concentrations assisting these MPH students throughout their blended experience. This will be a new population of students that will require leadership, design of tailored support and close coordination with all division heads.
In addition to overseeing and managing all aspects of the online student populations, which is expected to double in size in the next 12-18 months, the Program Manager for OOMPH & Interdisciplinary MPH will be a resource for the students in the one-year, residential Interdisciplinary MPH program. He/She will play a central role in student stewardship and in building student community for both degree programs. The person in this position will help gather feedback from our professional students through surveys and other information gathering mechanisms and interact with various departments on campus on behalf of the students. This includes, the Graduate Division, Financial Aid office, Registrar’s office, etc.
Responsible for onboarding and ongoing orientation and facilitation for all incoming and current online MPH students joining any of the online program’s three academic terms, FALL (August), SPRING (January) and SUMMER (May) and the one-year residential interdisciplinary MPH program students in SUMMER (July).
Responsible for all aspects of student services for the online education program(s) and the one-year, residential Interdisciplinary MPH program, including monitoring recruitment, admission, fellowship nominations, student progress, course offerings and coordinating course scheduling with the Student Services Team.
Respond to student and faculty inquiries received during the admission and onboarding period. Provide technical support for new students including setting up their school ID within the various digital platforms (CalNet ID, bCourse, Student’s HUB, etc)
Ensure both online AND residential students mentioned above are properly enrolled, registered, fees paid, that blocks are cleared, update roster and inform faculty/instructors on four new cohorts during the academic year.
Process all deferral requests, GPA exception and other waiver requests, develop and issue letters and proper correspondence as needed. Assist with solving any registration issues at the Graduate Admissions and Registrar's Offices.
Within School of Public Health provide, and make recommendations for the improvement of the student experience for both online and residential programs . Works with faculty and the various Student Academic Advisor(s) to set up term plans for the student onsite visits.
Track and review online and residential students' progress and advise students and faculty on requirements for degree/program completion; identify students with progression problems and report back to Student Academic Advisor(s) for interventions.
Monitor students’ academic progress, counsel and assist with retention efforts.
Primary contact for the Programs, triaging and processing students request for course withdrawals, course switches and/or additional course enrollments, coordinate with the SIS/Registrar’s Office accordingly.
Advise students who are inactive and/or lagging behind in class, map out students’ academic curricula and with the help of Faculty Director and Academic Advisors make recommendations on courses when appropriate. Coordinate with students who dropped from the program in order to make arrangements for their re-enrollment requests, possibly to new SPH certificates or concurrent courses.
Coordinate with Office of the Registrar for resolving student grade issues and replace incomplete grades with letter grades. Manage and update students’ analytics on comp exam performance documents. Maintain accurate records of each student’s course completions, final grades.
Advise students on GPA requirements, academic probation, and guide students on how to come out of academic hardship where necessary; initiate communication for Advancement to Candidacy processes.
Students’ on-campus experience:
In conjunction with the Education Operations Manager, manages all aspects of the annual OOMPH pre-graduation and commencement ceremony for all online graduating students (May) and assists with planning and executing commencement for the School of Public Health. Serve as a liaison and key contact person between the Student Academic Advisors and students, Graduate Division and other campus units.
Plan events and manage operations for two summer campus visits, specifically annual on-campus visits for the MPH first-year students (in June). Plan and lead all aspects of the students’ social and academic activities calendar during that week.
Organize and manage the online MPH annual on-campus visits for the MPH second-year students (in May/June). Plan and lead all aspects of the students social and academic activities calendar during that week.
Prepare course materials and secure parking passes for guest speakers for those two weeks. Plan official events including dinners and Meet & Greet sessions.
Lead/Coordinate non-teaching faculty presence at summer on-campus sessions and coordinate student-faculty interactions.
Provide coordination and orientation for one-year, residential Interdisciplinary MPH students in Summer (July).
Participate in the evaluation and nomination processes for student fellowships, grants and other awards managed by the Student Services and Admissions Team; advises students on financial aid options on campus including GSI/GSR options and requirements and extramural fellowship opportunities; oversees processes for equitable assignment of GSIs and coordinates GSI assignments each term.
Manage financial aid inquiries, serve as SPH Career Center and Practicum Liaison.
• Working knowledge of advising and counseling techniques.
• Knowledge of University-specific computer application programs and knowledge of University and departmental principles and procedures involved in risk assessment and evaluating risks as to likelihood and consequences.
• Familiarity with UCB systems, policies and organizational structure (highly preferred)
