The Administrative Assistant in the Center for Drug Discovery [ CDD ] will coordinate the administrative management of the Director's office and facilitate effective and efficient business operations within the Center for Drug Discovery Director's Office and the Administrative Office. Develop, implement, and manage the Center's annual multi-day international conference in “Chemistry and Pharmacology of Drug Abuse” event, while concurrently maintaining outcome data collection for funding reports and constructive implementation of operations activities. Work with the Director, Associate Director, Deputy Director, and Assistant Director of the CDD to facilitate operational success and implement/update strategic protocols, policies, and procedures. The coordinator will be responsible for all communication within the Director's office, including maintaining and updating the website (and any related social media accounts) and publicizing all CDD -related events and special programs. Manage Director's travel and travel reimbursements. Prepare regular event budget update reports for the Director. Maintain records, construct and aid in the preparation of, and edit all incoming/outgoing materials, data, reports, patents, CDA /NDA's, MTAs, etc.
This position will oversee new student, staff and faculty on-boarding; manage weekly payroll for student employees; liaise with appropriate NU departments to ensure receipt of complete visa documentation and information required for foreign national CDD members; recruit and participate at all NU-based student job fairs; supervise work-study students working within the CDD Director's and the Administrative offices; support the Assistant Director in all HR-related and budgetary matters related to HR actions.
POSITION FUNDING NOTICE : This position is ½ funded by an external funding grant source, with an originally scheduled project period of 5 years. The remaining ½ funding source for this position comes from internal NU sources.

Qualifications:
Associate’s degree; Bachelor’s degree, preferred. At least 2-5 years of recent business or academic administrative experience (or a total of commensurate experience). Strong demonstrable interpersonal and communication skills, both written and verbal required, especially in working with students, staff, & faculty. Must demonstrate the ability to set goals, take initiative, follow through and organize effectively. Must be able to work in a highly dynamic environment and adjust to changing priorities quickly. Ability to work both independently and as a member of a team. Able to handle confidential information and remain calm in stressful situations. Must be able to take an idea from conceptualization to implementation. Comfortable multitasking, working independently and supervising a small team. Ability to efficiently set deadlines and balance competing priorities. Previous work experience in a college/university setting is a plus. Excellent proficiency in all Microsoft Office applications as well as superior organizational, and analytical skills required. Familiarity with ChemDraw, Endnote and Adobe Acrobat preferred. Familiarity with website design and maintenance (Wordpress, Dreamweaver, or Squarescreen).
