The Event Coordinator is responsible to the Director of Development (DOD) and is responsible for organizing and implementing all fundraising events for the Development Department. The work will include planning and implementing events, execution of strategies for donor and volunteer recruitment and cultivation, tracking activities, production and maintenance of collateral materials, input and management of various databases and other duties as assigned. The Events Coordinator also assists the DOD in support of Capital Campaigns. This position is based on 40 hours a week, but may involve overtime during departmental and seasonal events.

Essential Duties and Responsibilities

Special Events Coordination

  • Assists in the development and implementation of fundraising and special events, various major donor cultivation and recognition events and ad hoc events that help build community relationships
  • Helps ensure event revenue targets are met or exceeded
  • Develops and implements event project plans
  • Organizes all aspects of event production including budget development and tracking, audience development, collateral, table placement, volunteer management, vendor production and management
  • Assists in the cultivation, solicitation, follow-up and recognition process for individual, corporate and foundation partners for assigned special events
  • Assists in procuring sites for events and following through on all site-specific requirements and details
  • Helps promote events and works to ensure all events support the overall communication strategy of the organization
  • Arranges scheduling, layout, d├ęcor, on-site production and logistics
  • Coordinates with vendors in developing contracts for all aspects of support: catering, decoration, music, sound production, talent and giveaways
  • Assists fundraising committee with administrative needs
  • Researches new event possibilities and shares findings with Director of Development
  • Collaborates with Marketing and Communications team on all event collateral and promotion activities
  • Keeps abreast of Territorial and National Headquarters activities and properly utilize the resources available
  • Performs other duties as assigned

Capital Campaign Coordination

  • Assists the Director of Development in the coordination of capital campaigns in the Northwest Division
  • Ensures accuracy of campaign records such as pledge payment receipts and reminders, Portfolio entries, recording campaign donations in the accounting records
  • Assists in preparation of capital campaign presentation materials
  • Assists in preparing visits to potentially large donors
  • Assists in preparing campaign progress reports to Territorial Headquarters


  • Maintain accurate and well organized records and ensure confidentiality of all department records and files
  • Perform other development coordination duties as requested by the Director of Development
